The short version. We collect the information you give us when you join the waitlist (name, email, practice details), plus standard web analytics through Google Site Kit. We use it to email you about VexOps and improve the product. We don’t sell your data. You can ask us to delete it any time at hello@vexops.io.
This Privacy Policy describes how Vex Operations (“VexOps,” “we,” “us”) collects, uses, and shares information when you visit vexops.io, join our waitlist, or otherwise interact with our services (the “Services”). By using the Services, you agree to this Policy.
1. Information We Collect
Information you provide
When you join the waitlist or contact us, we collect the information you submit through forms on our site, which may include:
- Name
- Email address
- Phone number (optional)
- Practice or business details (industry, team size, practice area)
- Free-text comments about your business pain points or goals
- Any other information you choose to send us, e.g. by email
Information collected automatically
When you visit the Services, we and our analytics provider automatically collect:
- Device and browser information (browser type, operating system, screen size)
- IP address and approximate geographic location
- Pages visited, time on page, referring URL, and similar usage data
- UTM parameters and other campaign attribution data when you arrive via an ad or link
This information is collected through cookies and similar technologies described under “Cookies and Analytics” below.
2. How We Use Information
We use the information we collect to:
- Operate the Services and respond to your inquiries
- Send you updates about the VexOps launch, early access, and product news you signed up for
- Understand which problems matter most to our future customers so we can prioritize them in the product
- Measure the performance of our marketing and improve our website
- Detect and prevent fraud, abuse, and security incidents
- Comply with our legal obligations
We do not sell your personal information. We do not use waitlist data to deliver third-party advertising.
3. How We Share Information
We share information only as needed to operate the Services:
- Hosting and infrastructure. Our website is hosted by WP Engine. Your form submissions and site interactions are processed by their infrastructure under their security and data protection terms.
- Forms processing. Waitlist submissions are processed and stored by Formidable Forms within our WordPress install.
- Analytics. We use Google Site Kit, which integrates Google Analytics and Google Search Console, to understand how visitors use our site. Data is processed by Google under its own privacy terms.
- Email delivery. Transactional and waitlist emails may be delivered through a third-party email service. We share the minimum information required to deliver the message.
- Legal compliance. We may disclose information when required by law, subpoena, or other legal process, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
- Business transfers. If VexOps is involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.
4. Cookies and Analytics
We use first-party and third-party cookies to operate the site and measure its performance. The main categories:
- Strictly necessary cookies. Required for core site functionality (e.g. keeping the nav menu state).
- Analytics cookies. Set by Google Analytics via Site Kit to count visits, track sources, and measure engagement. These cookies do not identify you personally.
You can control cookies through your browser settings. Most browsers let you refuse cookies or alert you when one is set; blocking cookies may affect site functionality.

5. Data Retention
We retain waitlist information until you ask us to delete it or until it’s no longer needed for the purposes described above — whichever comes first. Analytics data is retained for the period configured in our Google Analytics property (typically 14 months).
If you ask to be removed from our waitlist, we delete your information from our active systems within 30 days. Backups may retain it for a limited additional period until they cycle out.
6. Security
We use commercially reasonable technical and organizational measures to protect your information, including encryption in transit (TLS), access controls, and regular security review of our hosting environment. No system is perfectly secure; if you have reason to believe your information has been compromised, please contact us immediately.
7. Your Rights
For residents of the European Economic Area, United Kingdom, and Switzerland
You have the right to:
- Access the personal information we hold about you
- Request correction or deletion of your personal information
- Object to or restrict certain processing of your information
- Request a copy of your information in a portable format
- Withdraw consent to processing where consent is the legal basis
- Lodge a complaint with your local data protection authority
Our legal basis for processing is your consent (waitlist signup) and our legitimate interest in operating and improving the Services.
For residents of California
Under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), you have the right to:
- Know what categories of personal information we collect and how we use them
- Request a copy of the personal information we hold about you
- Request deletion of your personal information
- Opt out of any sale or sharing of your personal information (we do not sell or share for cross-context behavioral advertising)
- Not be discriminated against for exercising these rights

To make any of the requests above, email hello@vexops.io. We’ll respond within 30 days. We may need to verify your identity before fulfilling certain requests.
8. Children’s Privacy
The Services are not directed to children under 16, and we do not knowingly collect personal information from children under 16. If you believe a child has provided us information, please contact us and we will delete it.
9. International Users
VexOps is operated from the United States. If you access the Services from outside the U.S., your information will be transferred to and processed in the U.S., which may have data protection laws different from those in your country. By using the Services, you consent to that transfer.
10. Changes to This Policy
We may update this Policy from time to time. When we do, we’ll update the “Last updated” date at the top. If the changes are material, we’ll let waitlist members know by email. Continued use of the Services after a change indicates your acceptance of the updated Policy.
